Allow User to See Only Assigned Data AND Data Not Assigned to Anyone
N
Nathan Cameron
It would be very helpful for a user to be limited to only the data assigned to them but also data that isn't assigned to anyone. That way as user can focus on their clients, leads, or whatever, but also see new clients or leads who have not been assigned.

Can only see their own leads + UNASSIGNED

Ability for reps to see either leads that are assigned to them and leads that are unassigned. This way there can be a pool of workable leads that are not yet assigned which can be seen by everyone, or have other contacts in the system that are not related to the sale but are not hidden from everyone’s view (like contacts of partners or third parties)
Please vote if this is beneficial to you. I realize we are not able to add any secondary contacts into the system like this right now
Preferably the UI would let us select for each user:
- Assigned Leads
- Unassigned Leads
- Leads assigned to others

When a user is given the permission to view only assigned data, also include an option for data not assigned to anyone. I have appoitment setters on my accounts that can't see their lead until someone assigns it to them. I don't want them to see contacts that aren't assigned to them, but I would like them to see contacts that aren't assigned to anyone yet (cold).

Working with sales team, this is a critical feature that many CRMs offers.

One solution could be to create User Groups.
In this way, in the “Data Visibility Scope” there would be 3 options:
- Only Assigned Data
- All Records
- Teams or Groups (and here choose the group)
In groups or teams, you could create Group A (with users a, b, c), group B with users (c, not assigned to anyone).
Right now this option is very limited because just by seeing your own data, you can see all the data of all the contacts...
There's an idea that develops this idea a lot more here:
But this can be a good starting point.

I would like to add that we should have multiple owners not just unasssigned. I have an assistant. She doesn't need to see ALL my notifications and ALL of my clients. Just whats assigned to her. How about adding her as an owner as well as myself so that we can both work and be notified on the same lead/client and then she it's done and no longer needed, she or they are removed as owner. This is different than opportunities. This is just communication with non-deals, like referral sources, vendors, etc. Pretty much all of this is tied to the notification issues as well which is not having a separate inbox for each phone number or have the ability to NOT be notified of emails but definitely notified of Text Messages, etc.

So So important to fix along with the notifications being fixed.

This is sooo important. We have leads calling in all the time. Whoever answers first, gets the lead.
However, rep is not able to see the lead and assign it to themselves since it's either 'assigned data only' OR "all records".
We don't want the reps to be able to see all records, but unfortunately we don't have any other option because we get so many hot leads calling in from marketing, and it's not feasible for them to all be reaching out to management to get these leads assigned to them.

Followers AND Users that have 'Only Assigned Data' turned on: I propose the following improvements to the 'Only Assigned Data' permissions in our CRM to address key challenges and enhance overall usability:
- Access to Prior Recorded Conversations:
Current Issue: Users assigned to a contact cannot listen to prior recorded conversations.
Proposed Solution: Introduce granular permissions to allow admins to enable or disable access to previous recordings for users assigned to contacts.
- Calling from Multiple Numbers:
Current Issue: Assigned users are restricted to calling from the default number or one specifically assigned to them.
Proposed Solution: Allow users to call from any available number, facilitating communication with contacts in different states using local numbers.
- Calendar Access and Scheduling:
Current Issue: Users with 'Only Assigned Data' permissions can only see calendars they are part of, limiting their ability to schedule calls for others.
Proposed Solution: Permit these users to book calls for other team members, improving their operational efficiency.
- Access to Unassigned Data:
Current Issue: Users are restricted from viewing unassigned data.
Proposed Solution: Provide an option for users to see data assigned to no one, giving a broader perspective of potential leads or tasks.
These changes are crucial for large sales organizations that use a setter-closer model, ensuring flexibility, access to essential information, and efficient task management.
Please vote for this idea if you believe these enhancements will improve our CRM functionality and help our team work more effectively!

This is a huge issue in our organizations. If a lead is in the system as an unassigned contact already it should be viewable by users with only assigned data as an option. In many cases the contact database is not proprietary and should be accessible to make it useful. The opportunities can stay hidden but the underlying contact should be available.
