Problem:
When a contact books an appointment via a GHL calendar that syncs with Outlook, the system sends an invite, but accept/decline responses from the contact do not trigger any notification for the user.
Other calendar tools—like Calendly, HubSpot Meetings, and Microsoft Bookings—send Outlook-native invites that properly track RSVP updates (accepted, declined, tentative). GHL invites, however, are treated as external iCal events, meaning Outlook doesn’t recognise the GHL user as the true organiser and RSVP updates aren’t passed back.
This creates:
- No visibility on who has confirmed attendance
- Extra manual work to confirm attendees
- A poor experience compared to other scheduling tools
Suggested Improvement:
Upgrade the Outlook Calendar integration to behave like Calendly/HubSpot by:
- Sending true Outlook-native meeting requests that Outlook treats as internally organised events.
- Syncing RSVP responses (accepted/declined/tentative) back to both Outlook and GHL.
- Allowing workflows to trigger based on RSVP changes (e.g., “When invitee declines → send reschedule link”).
- Ensuring the GHL user is always listed as the official “Organiser” in Outlook for full tracking.
