We use the mobile app to manage attendance for our group fitness classes, and there are three issues with the current calendar/appointment view that make managing larger classes difficult and are causing issues with attendance being recorded incorrectly.
  1. Show the appointment title instead of the class attendee list
When viewing a scheduled class in the mobile app, the attendee list currently only displays the customer's name.
We use the appointment title to identify important information about the customer's booking — for example, we will edit the booking to add information next to their name ie: Paid/Member/Class Pass/To Pay
However, when viewing the class attendee list, this information is not displayed. To check this information, we have to open each individual customer's profile to check their status. This becomes particularly difficult to do and time consuming when we have a queue of people arriving at the door.
  1. Clearly show when an attendee has been marked as "Showed"
When a customer arrives, staff mark them as Showed. However, once this is done, there is currently no obvious visual change in the attendee list/calendar view to indicate that the person has been checked in.
This is particularly problematic when multiple staff members are checking people in at the same time.
For example, if there are 30-50 people booked into a class and two staff members are checking in, there is no easy way to see:
Who has already arrived
Who we are waiting for
Who another staff member has already checked in
Who may have been accidentally missed
Staff therefore risk checking the same person twice or overlooking someone who has not yet arrived.
This is particularly important for us as changing the attendance status triggers an automation/workflow, so it is important that the correct status is recorded for every attendee.
Having a clear visual indicator ie: change of colour, text, an icon, or being separated from the main list, would make the check-in process much more reliable and reduce the risk of incorrect workflow triggers.
  1. Allow appointments to be edited or rescheduled directly from the customer's profile
Currently, appointments can only be edited or rescheduled from the calendar.
If a client messages us directly to say they need to change their class, we may already be viewing their customer profile/conversation. However, we then have to leave that profile, navigate to the calendar, find the relevant appointment, and make the change from there.
This creates an unnecessary number of steps, particularly when we are communicating directly with the client from their account at the same time.
All three of these issues relate to the same underlying problem: the mobile app currently requires too much navigation between the calendar and individual customer profiles to manage a class effectively.
For a group fitness business managing classes of 30–50+ attendees, staff need to be able to quickly see:
Who is booked → what type of booking they have → whether they have arrived → and make changes to their booking when needed.
Improving these areas would make the mobile app significantly more practical for real-time class management, reduce unnecessary navigation, improve check-in accuracy and reduce the risk of incorrect attendance-triggered automations.
