Private Email Permissions Between Employees

Hi,
I’d like to request a permission setting for email visibility between users on the same account.
Right now, when employees have access to the client list, they can see all email communications between the account owner and the client. In many cases, this includes private or strategic conversations that should not be visible to the entire team.
Suggested Solution:
Add a permission setting that allows account owners to:
Keep certain email conversations private between the sender and the client
Allow team members to still see the general client history and activity
Control which users can view internal or private communications
Why this matters:
Protects confidential discussions with clients
Allows owners to manage teams without exposing sensitive negotiations
Makes the platform more usable for sales teams and agencies with multiple employees
This would make collaboration easier while still protecting private communication and business strategy.
If anyone else runs a team and wants better email privacy controls, please upvote this feature.
Thank you!

Private Email Permissions for Teams
A
Abraham Leimzider
Hi HighLevel Team,
As agencies grow and add more employees to their accounts, email privacy becomes a real issue.
Currently, when team members have access to contacts, they can also see all email communications between the account owner and the client. In many cases, those emails include private negotiations, pricing discussions, or sensitive business conversations that shouldn’t necessarily be visible to every employee.
For agencies managing teams, this creates a challenge:
We want our staff to see client activity and communication history, but we don’t always want them to see private or strategic emails between the owner and the client.
Suggested Solution
Add email visibility permissions so account owners can choose:
• Private Emails – Visible only to the sender and authorized users
• Shared Emails – Visible to the team in the contact timeline
• User-Level Permissions – Control which employees can view private conversations
Why This Feature Matters
Protects confidential client negotiations
Allows agencies to scale teams without losing privacy
Gives owners better control over internal information
Makes HighLevel more suitable for larger agencies and sales teams
Many agencies operate with multiple employees handling the same client list, and having granular email privacy controls would significantly improve how teams collaborate.
If this would help your agency as well, please upvote this feature request so the team can prioritize it.
“If you run a team or agency and need better email privacy controls, please comment how you currently handle this.”
Thank you!

Permission restriction so that not everyone sees emails

Would love to have permissions to restrict communication visibility so that not everyone on the team sees all of the emails under the team inboxes.
This would help with compliance policies (i.e, personal information, contracts, payments)

We handle this by having certain team members only access specific pipelines, but yeah, the email thing is tricky. Sometimes you need to discuss pricing or internal stuff that the whole team doesn't need to see.

Yeah we've had situations where salary discussions or contract negotiations end up visible to the whole team. Currently we just use separate email addresses for sensitive stuff but that's messy.
