HighLevel's Preference Management is a great step forward, but there is still a major structural problem:
One unsubscribe can represent a much bigger decision than the contact intended to make.
If someone means:
“Stop sending me this newsletter.”
that should not unnecessarily become:
“DND my email across every brand, website, newsletter, business, and marketing relationship that happens to live inside this HighLevel location.”
For many of us, one HighLevel location does not equal one brand.
A location may contain several websites, publications, divisions, memberships, product lines, or businesses.
The contact should not need to understand our CRM architecture just to control what they receive.
Add Brand/Site-Specific Preference Center Profiles
I would love to see HighLevel add another layer to Preference Management:
Location → Preference Center Profile → Subscription Types
Each Preference Center Profile could represent a website, brand, publication, division, product line, or other logical sending identity.
Each profile could have its own:
branding and logo
explanatory text
subscription categories/preference types (of which we would benefit from having more than just 5)
preference-center page
unsubscribe behavior
associated workflows/campaigns/sending identities
So an email from Brand A could send someone to Brand A's preference center, showing only the categories relevant to Brand A.
An email from Brand B could do the same for Brand B.
Instead of dumping every unrelated subscription inside the location onto one preference page, the recipient sees exactly what they expect to see.
They could choose:
Stop this type of email
Change what I receive
Unsubscribe from all marketing from this business/brand/profile
That gives the recipient more control, not less.
Apply the Same Logic to Gmail/Yahoo (and others) One-Click Unsubscribe
This could go beyond the visible preference-center link.
Google's current bulk-sender requirements use RFC 8058 one-click unsubscribe through email headers.
Importantly, Google says this one-click unsubscribe can apply to the mailing list associated with that message. It does not inherently have to mean “unsubscribe this person from every promotional communication this sender has ever created.”
Google also allows the normal unsubscribe link inside the email body to lead to a preference page.
That creates an opportunity for HighLevel to make this smarter.
If a workflow/campaign is associated with:
Brand A → Newsletter
then HighLevel's List-Unsubscribe / RFC 8058 handling could be associated with the appropriate Brand A preference profile instead of automatically creating a location-wide marketing DND.
Someone clicking Gmail's built-in Unsubscribe button could therefore unsubscribe from the appropriate brand/list relationship represented by that message rather than disappearing from every unrelated email program inside the CRM location.
Obviously, HighLevel should still honor whatever broader opt-out is legally required in a particular situation.
This should never become a loophole where users create fake “brands” to ignore a genuine global marketing opt-out.
But legitimate brand and business-unit separation should be possible. So people don't miss out on things they desire to receive from several other websites just because they thought they were opting out of one specific websites newsletter by clicking unsubscribe.
Make the Global Unsubscribe Footer More Customizable
I actually like having HighLevel's Business Profile unsubscribe footer as a global safety net.
I don't want to disable it and then manually hunt through dozens or hundreds of existing workflow emails hoping I remembered to add unsubscribe functionality everywhere.
That creates another compliance risk.
What I would like is more control over how that global footer works.
Right now, the global footer can present a direct unsubscribe link plus a separate preference-management link.
The problem is that the quickest and most obvious choice can also be the most destructive one.
Let us customize the footer so the primary visible action can be something like:
Manage Preferences / Unsubscribe
which opens the appropriate brand/site Preference Center Profile.
If HighLevel still wants or needs a separate full-unsubscribe option in the body, that's fine.
Let us control the wording and order:
Want fewer emails? Manage your preferences.
Want to stop all marketing from this brand? Unsubscribe here.
The inbox-provider one-click unsubscribe required by Gmail/Yahoo can continue doing its job separately in the email headers.
But none of this should be a global unsubscribe from anything within the HighLevel location. Just the specific business/brand, etc.
Separate Marketing DND From Legitimate Service/Transactional Email
There is also a related issue with email DND.
Someone saying:
“Don't send me marketing.”
is not necessarily saying:
“Never send me information connected with something I bought, booked, joined, requested, or am actively using.”
HighLevel should have a properly safeguarded way to classify workflow emails as genuine:
Transactional / Service Communication
Not a simple “ignore DND” switch that could be abused.
Build safeguards around it:
restrict its use
log it
warn against promotional content
monitor abuse
suspend accounts abusing it
But let us build those legitimate service emails using normal HighLevel workflow emails, templates, branding, sending domains, and automation.
That would also help with Conversations.
If someone emails the business asking a question, we should have a controlled way to reply to that conversation without first broadly resubscribing them to marketing categories.
A genuine one-to-one service reply is not the same thing as putting someone back on a mailing list.
Make Staff Subscription Management Granular Too
The same principle should apply inside the contact record.
If someone tells us:
“I want the newsletter again, but I still don't want promotions.”
we should be able to re-enable exactly that subscription.
We shouldn't have to resubscribe them to everything first and then manually remove the categories they still don't want.
Where consent or another lawful basis is required, record it.
But once the contact has legitimately asked to receive something again, let us enable that specific thing.
This Is Not About Making Unsubscribing Harder
Quite the opposite.
I want it to be extremely easy for somebody to say:
Stop this newsletter.
Stop these topics.
Stop all marketing from this brand.
After all, there are many companies out there that are technically owned by the same parent company, but you don't get unsubscribed from emails Amazon sends out just because you hit unsubscribe in an email from one of Jeff's other companies. They are all separate systems and legally that is okay. So we should be able to treat different sites/businesses/brands, etc., as separate entities within our one main account.
The important thing is that HighLevel records the choice the recipient actually intended to make.
A person trying to leave one newsletter should not accidentally lose unrelated communications simply because several brands happen to share one HighLevel location.
This would improve:
customer experience
consent accuracy
deliverability
multi-brand management
preference-center branding
support workload
transactional communication
compliance-by-design
HighLevel has already built the foundations with Preference Management and unlimited subscription type categories.
The next logical step is:
Location → Brand/Site Preference Center Profile → Subscription Type
with Gmail/Yahoo one-click unsubscribe, visible preference links, DND behavior, and transactional/service messaging all respecting that same structure.
The goal isn't to make unsubscribing harder.
The goal is to make unsubscribing accurate.
