Feature Request: Filter Conversations and Inboxes by CRM Phone Number
Currently, in GoHighLevel's Conversations tab, all SMS messages associated with a contact appear in one combined conversation thread, regardless of which CRM phone number the contact messaged.
For businesses using multiple CRM phone numbers within one sub-account, this makes it difficult to identify which number received a specific message and manage conversations separately.
Example:
Let's say a sub-account has three CRM phone numbers:
- CRM Number 1
- CRM Number 2
- CRM Number 3
A contact sends separate SMS messages to all three numbers.
Currently, all those messages appear together in one conversation thread, making it difficult to distinguish which CRM number each message was sent to.
Feature 1: Filter Messages Within Individual Conversations
Introduce a phone number selector within an individual contact's conversation that allows users to switch between:
- All Numbers (Default): Displays the complete conversation history across all CRM numbers, exactly as it currently works.
- CRM Number 1: Displays only incoming and outgoing SMS messages associated with CRM Number 1.
- CRM Number 2: Displays only incoming and outgoing SMS messages associated with CRM Number 2.
This would allow users to view the full conversation history or focus on messages associated with a specific CRM number.
Feature 2: Filter the Main Conversations Inbox by CRM Number
Introduce the ability to filter conversations in the main Conversations inbox and custom Conversation Views based on which CRM phone number received the message.
For example, users could select CRM Number 1 and see conversations associated with that number, regardless of who is assigned as the contact owner.
This would allow businesses to organize and manage conversations by CRM phone number without needing to change contact ownership.
Additional Functionality
When responding from a conversation filtered by a specific CRM number, the system could automatically select that same number as the outgoing sending number.
Ideally, these filters would also support unread messages and new-message indicators for each CRM number, so users can easily identify which numbers have messages that still need attention.
Why This Would Be Beneficial
Currently, businesses using multiple CRM numbers have limited options for separating conversations based on the number contacted.
Changing contact ownership to manage inbox visibility can interfere with opportunity ownership, automations, and existing conversations. It can also cause users to lose visibility when a contact communicates through multiple CRM numbers.
Number-based filtering would help avoid these issues without requiring complex workflows, contact reassignment, followers, tags, or additional internal notifications.
The Goal
Keep the existing unified conversation view while introducing the ability to filter both individual messages and the main Conversations inbox by CRM phone number.
This would make conversations easier to navigate, improve inbox visibility, and provide much better flexibility for businesses managing multiple CRM numbers within a single sub-account.
